Overview:

The Administrative Assistant provides administrative support to a department and/or management. This position requires effective communication skills and confidentiality. Ensure a smooth and expedited execution of all administrative details.

Responsibilities:
  • Supports the department/management to accomplish business goals by providing administrative support. Including document creation and ad hoc reporting requests.
  • Coordinating appointments, meetings, lunches and travel arrangements as needed for management and suppliers. Answer incoming phone traffic and office voicemail. Processes daily mail by coordinating ingoing/outgoing and drop off/pick up of time sensitive materials.
  • Maintains office supplies including copy and fax equipment, FedEx and miscellaneous office equipment by ordering and tracking as needed.
  • Securing meeting rooms, handle all meeting needs, manage video conferencing, create agendas, take meetings notes and prepare recaps.
  • Contributes to team effort by assisting in special projects as needed and providing administrative assistance to other functional areas.
  • Perform other administrative duties not assigned.
Qualifications:
  • High School Diploma or equivalent, college preferred.
  • Minimum of three years prior experience in an administrative position with similar responsibilities
  • Proficient PC skills using MS Office and other various computer systems (SAP, Workday)
  • Excellent typing and/or word processing skills and transcribing are required.
